The Client Flow Formula – What Systems You Need at Each Stage [Ep 73]

I still remember the feeling. Staring at my screen, scrolling through disorganized folders, trying to find that contract template I’d used for my last client. Meanwhile, my inbox was pinging with messages from current clients asking about their next steps, and I had three “interested” leads hanging in my DMs that I hadn’t responded to yet.

The truth is, most service providers and coaches start their businesses because they’re amazing at what they do – not because they love creating systems. But without the right client systems in place, you end up spending more time on admin tasks than actually serving clients (or finding new ones).

What Is the Client Flow Formula?

The Client Flow Formula consists of three essential components that create the client journey:

  3. RETAIN – Keeping clients coming back

Each component has three implementation levels – basic, intermediate, and advanced – so you can start where you are and build from there.

Let’s break down each one.

CONVERT: Getting Clients in the Door

Your “convert” systems begin the moment someone enters your world – whether through Instagram, your email list, or referrals. The goal? Remove as much admin work as possible from bringing on new clients.

Basic: Streamlined Onboarding

This is your foundation and should be your first priority. Set up a CRM system with automated:

  • Contracts
  • Invoices
  • Welcome emails

When onboarding is manual, your subconscious might actually resist making sales because you know each “yes” means hours of admin work. I’ve seen clients instantly increase their capacity after implementing this simple system.

Intermediate: Passive Nurture

Once your onboarding flows, build systems that nurture leads while you sleep:

  • Lead magnets
  • Welcome sequences
  • Basic lead funnels

Imagine someone finding your Instagram at 1 AM, signing up for your freebie, receiving your nurture emails, and deciding to work with you – all without you lifting a finger.

Advanced: Multiple Conversion Paths

For those scaling up:

  • Low-ticket products
  • Multiple funnels
  • Upsells/downsells

Adding a $27 product isn’t about making $27 – it’s about giving potential clients a low-risk way to experience your expertise before investing in your premium offers.

SERVE: Delivering an Exceptional Experience

Once clients are in, you need systems to help you deliver consistently without getting overwhelmed.

Basic: Stay on Top of Your Work

  • Client trackers (who’s starting/ending when)
  • Project management
  • Clear communication channels

This level is about doing what you promised, consistently, and staying organized so nobody falls through the cracks.

Intermediate: Create Structure & Reduce Questions

  • Client portal
  • Resource hub
  • Basic team support

When clients can log in and see project status, access resources, and track progress without constantly messaging you, they actually feel MORE supported while requiring LESS of your time. The goal is to decrease repetitive questions while gradually removing yourself from day-to-day operations.

Advanced: You Only Do Your Zone of Genius

  • Dedicated client manager
  • Highly structured delivery
  • You only do the specialized work

In this scenario, you’re not answering “where’s the link to schedule?” questions – you’re only showing up for the specialized work clients hired you for.

RETAIN: Keep Clients Coming Back

The retention phase is often overlooked, but it’s where real business stability comes from.

Basic: Simple Resign Process

  • End-of-service check-ins
  • Clear next steps
  • Manual follow-ups

Make continuing with you as easy as possible. Have a simple way for clients to re-up their package or move to the next service.

Intermediate: Early Resign Strategy

  • Start the conversation at 75% program completion
  • Preview next options before they decide to leave
  • Streamlined communication

This is the strategy I recommend most. Don’t wait until the final call to discuss continuing! By day 45 (of a 60-day program), clients are already forming opinions about whether they’ll stay. Get ahead of that decision by previewing options while they’re still experiencing results.

Advanced: Automated Retention

  • Scheduled notification sequences (45, 30, 14, 7, 3 days)
  • Team member check-ins
  • Tiered resign options

One of my clients with 600+ program graduates uses this approach – automated reminders start 45 days before expiration, with increasing urgency and clear options.

Start Where You Are (And Build From There)

Here’s the big secret: you don’t need to implement everything at once. And you definitely don’t need to reach the “advanced” level if that doesn’t align with your business vision.
